Position: Assistant Director

Hours:Part-Time (20 Hours Per Week)

The Assistant Director’s main responsibilities include helping with weekly practice logistics, actively recruiting new athletes and guides, supporting marketing and fundraising activities, routinely updating the Achilles Website, and maintaining the Rosterfy login system to assist athletes and guides and provide reports to NY headquarters as needed. Additionally, the Assistant Director ensures a strong social media presence across platforms such as Facebook, and Instagram; assists with race registrations, practices, and training logistics; and provides data for grant reporting, board meetings, and for NY. The role reports to the Nashville Chapter Executive Director, NY headquarters, and the local board.

Qualifications:

The Assistant to the Executive Director is expected to demonstrate a strong commitment to the mission of Achilles International. Key qualifications and experience include:

  • Demonstrated passion for, and alignment with, the organization’s goals, coupled with integrity, a positive outlook, mission orientation, and self-motivation
  • Proven experience working with individuals with disabilities
  • Proficiency in computer applications, including Microsoft Office, data management, and website maintenance; graphic design and HTML skills re considered an asset
  • Ability to assist in marketing initiatives, public relations, and fundraising activities, while effectively engaging a diverse range of stakeholders
  • Experience managing budgets and clearly communicating organizational needs
  • Excellence in both written and verbal communication; persuasive presentation abilities and exemplary interpersonal skills
  • Strong organizational skills and meticulous record keeping
  • Flexibility and adaptability to address evolving organizational requirements
  • Capability to work efficiently both independently and as part of diverse teams
  • Willingness to receive and incorporate feedback from supervisory staff and board members

Primary responsibilities include, but are not limited to, the following:

Strategic Planning:

  • Work with the Board and ED to implement annual goals and objectives.
  • Report quarterly data (e.g. average attendance, race participation, new guides/athletes) to the ED before board meetings.
  • Attend all meetings as an ex-officio board member.

Recruitment: 

  • Proactively seek out new Athletes by visiting hospitals, support groups, outpatient therapy centers, and other non-profit organizations.
  • Proactively recruit Volunteer Guides through outreach efforts at local universities, running clubs, hospitals, clinics, schools, and gyms.
  • Keep an up-to-date database containing the contact details of all newly recruited athletes and guides.

Marketing & Fundraising:

  • Write creative content for one-pagers, brochures, flyers, and social media posts.
  • Conduct media outreach and build brand recognition through networking events.
  • Take a leadership role in the Hope & Possibility® 5-Miler and 1-Miler; serve on planning and marketing committees.
  • Manage all website activities and act as liaison with the registration site and planning committee.
  • Communicate effectively and professionally.
  • Share content across Facebook and Instagram; create scheduled posts for events and fundraisers.
  • Report social media metrics to the Executive Director monthly.
  • Order materials for Achilles practices and events.

Training 

  • Share training updates and schedule changes for marathon and half-marathon athletes and guides on the website and social media
  • Assist with travel arrangements for races outside Middle Tennessee
  • Provide support to athletes and guides during training
  • Organize equipment coordination and maintenance as needed
  • Assist with USATF requirements for coaches
  • Answer emails from athletes and guides about practices
  • Pair athletes with guides before weekly practices

Hope & Possibility®️ Race

  • Take lead role in all planning for the Achilles race (e.g., marketing, logos, social media help, sponsors, coupon codes)
  • Work back end for race H&P registration page (Run Sign Up)

  • Weekly practices, on-site events, community settings, and work from home, some travel required (e.g., travel races)
